Privacy Policy
Last updated: August 28, 2026
Note: This policy is provided as a general reference for how BorderFlow handles personal data. It is not a substitute for jurisdiction-specific legal advice. Given that our services span multiple EU jurisdictions (subject to GDPR) as well as data flows involving China and other regions, we recommend this policy be reviewed by qualified legal counsel before being relied upon for compliance purposes.
1. Who We Are
BorderFlow ("we," "us," "our") operates a cross-border trust infrastructure business spanning two pillars: Settle (housing settlement services for international professionals relocating to Europe) and Trade (sourcing, inspection, and supplier verification services for cross-border commerce). This policy explains how we collect, use, share, and protect personal data in connection with our website and services.
2. What Data We Collect
Information you provide directly
- Contact details (name, email, phone/WhatsApp number)
- Enquiry and intake information (target city or sourcing category, budget, timeline, occupation, and similar details relevant to assessing your case)
- Documents you choose to share with us or with a local partner in connection with a Settle or Trade case (e.g. proof of income, identification documents, business registration details) — these are collected only as needed to support a specific case and are not requested as a matter of routine
- Communications you send us via email, WhatsApp, or our enquiry forms
Information collected automatically
- Basic technical data when you visit our website (IP address, browser type, pages visited), collected via our hosting/CDN provider for security and performance purposes
3. How We Use Your Data
- To assess and screen enquiries before introducing you to a local partner
- To facilitate introductions and coordinate communication between clients and local partners (e.g. via a shared WhatsApp group for an active case)
- To provide the Settle or Trade service you've engaged us for, including case updates and follow-up
- To maintain records of our screening and verification process
- To respond to your enquiries and communicate with you about our services
- To maintain the security and functioning of our website
4. Who We Share Data With
We share data only as necessary to deliver the service you've requested:
- Local partners — verified local partners (e.g. Settlement partners in your target city, or sourcing/inspection partners) receive the information necessary to act on your case. For Settle cases, this typically happens within a three-party introduction (you, the local partner, and BorderFlow) once your case has been screened.
- Service providers — we may use third-party tools for form intake, communication, and hosting (e.g. Airtable, WhatsApp, our website hosting/CDN provider) in the ordinary course of delivering our services.
- Legal or regulatory disclosure — we may disclose information where required by law or to protect our legal rights.
We do not sell personal data to third parties.
5. International Data Transfers
Because BorderFlow operates across Europe, China, Southeast Asia, Africa, and other regions, personal data may be transferred to and processed in countries outside your own, including countries that may not have data protection laws equivalent to those in your jurisdiction. Where we transfer personal data out of the European Economic Area, we aim to ensure an adequate level of protection is in place, consistent with applicable law.
6. Data Retention
We retain personal data for as long as necessary to deliver the service you've requested and to comply with our legal and record-keeping obligations. Data connected to a completed or declined case is retained for a reasonable period afterward, consistent with the confidentiality commitments we make to past clients and partners, and is not disclosed to new clients or partners without authorization.
7. Your Rights
Depending on your location, you may have rights to access, correct, delete, or request a copy of your personal data, and to object to or restrict certain processing. To exercise any of these rights, contact us using the details below.
8. Cookies
Our website may use essential cookies or similar technologies required for basic functioning and security, provided via our hosting/CDN provider. We do not currently use cookies for advertising or cross-site tracking.
9. Children's Privacy
Our services are intended for adults. We do not knowingly collect personal data from minors.
10. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision.
