The full breakdown below — worth reading before you sign anything.

1

You Reach Out

Contact us with your requirements. The more detail you provide, the faster and more accurately we can match you.

What to include:

  • Target city
  • Move-in date and rental period
  • Monthly budget
  • Property type and must-haves
  • Your background (student / professional / family)

Vague requirements = slower matching. Be specific.

2

We Qualify Your Case

We review your requirements honestly. If your budget, timeline, and documents are realistic for the market — we move forward. If something doesn't add up, we tell you directly and explain why.

✅ We move forward if:

  • • Budget matches market reality
  • • Timeline is realistic (4+ weeks)
  • • Income proof available
  • • Requirements are flexible

⚠️ We flag concerns if:

  • • Budget below market rate
  • • Under 2 weeks timeline
  • • Documents incomplete
  • • Expectations unrealistic

We only refer qualified cases to our partners. This protects your time and theirs.

3

We Create a WhatsApp Group

Key Step

Once we confirm your case is a good match, we create a WhatsApp group with three parties:

You
The client
Local Partner
Expert on the ground
BorderFlow
There if needed

We make a warm introduction for both parties in the group.

⭐ Important — please read:

From this point forward, communicate directly with the local partner. You do not need to wait for BorderFlow to relay information. The partner is your primary contact. They will source properties, arrange viewings, and guide you through the process.

4

Contract Review & Deposit

Key Step

Your local partner sends you the service contract to review — take your time, ask questions, check the fee, payment schedule, and scope. Once you're satisfied and sign, you pay the deposit the contract specifies.

⭐ Important — please read:

The service formally begins only after the contract is signed and the deposit is paid. Terms — fee amount, payment split, timeline — vary by city and local partner. Always confirm the specifics in your contract rather than assuming a standard rate.

5

Partner Takes Over

From the group introduction, your local partner leads. They have deep local knowledge, direct landlord relationships, and proven experience with international clients.

Source properties from landlord network
Arrange in-person or video viewings
Support application & documents
Contract review & signing support
Move-in coordination
Basic admin (registration, utilities)
6

Sensitive Documents

At some point your partner will need income proof, passport copies, or other personal documents.

✅ Do this:

Share sensitive documents directly and privately with your local partner — outside the group chat.

💬 Group chat is for:

General updates, progress check-ins, and any questions you want BorderFlow to see.

Your privacy is protected. Never share sensitive documents publicly in any group.

7

We Stay Quiet — But We're Watching

After the introduction, BorderFlow steps back. We trust our partners to deliver. But we remain in the group and monitor progress.

If anything goes wrong — we step in immediately.

Dispute, confusion, unexpected situation, anything that needs a third party — message us in the group and we'll respond right away.

✓

You're Settled

Partner confirms move-in completed and basic admin settled. The final payment specified in your contract is due. Case closed.

✓ Keys received ✓ Address registered ✓ Utilities set up ✓ Final payment made

A Few Honest Notes

Short-term urgent cases are the hardest

Timelines under 4 weeks — especially short-term rentals — leave very little room for error. Every hour matters. We'll always try, but cannot guarantee success on urgent cases.

Your response speed matters

Good properties move fast. When your partner sends options and needs a decision — respond quickly. Delays give the property to someone else.

We are the bridge, not the bottleneck

Once introduced, go directly to your partner. Do not wait for BorderFlow to pass messages. Direct communication is always faster and clearer.

Long-term stable leads get the best results

Clients with 4–12 week timelines, flexible requirements, and complete documents have the highest success rates. We prioritise these cases.

Service Fee & Payment

The service fee varies by city and case type. Your contract is the source of truth — exact amounts and the payment split differ by local partner, and everything is confirmed in writing before anything starts. Payment is split into two instalments — so our success is aligned with yours.

Deposit
On contract signing

Paid after you've reviewed and signed the service contract. This is when the service formally begins. A common pattern is 50% here — but the exact amount is set by your contract, not a fixed rule.

Balance
On successful move-in

Paid after you have your keys and are physically in the property. Not before. Lease signed + moved in = completion.

You only pay the balance when you're actually settled. That's intentional — the split itself is set out in your contract.

Cancellation & Refund Policy

We understand plans change. Here's how we handle it — clearly, and fairly in both directions.

Cancel before group introduction

Full refund of first payment. Nothing has started — you owe nothing.

Cancel after introduction, before partner begins work

Partial refund of the deposit, as specified in your contract. The introduction itself takes coordination time.

Cancel after partner has started searching or arranging viewings

No refund. The partner's time and work have been invested on your behalf. We cannot ask them to absorb that cost.

Case fails through no fault of yours

Landlord withdraws, visa issue, employer cancels — handled case by case. We will always discuss this fairly rather than apply a blanket rule.

You should never pay for a service that hasn't started.
Our partner should never go unpaid for work they've done.
Both sides of that are protected by this structure.

Frequently Asked

How long does the settlement process take?

Typically 4-8 weeks from first inquiry to move-in, with a 75-80% success rate across the 6 cities covered.

How is the service fee structured?

Two instalments — a deposit when you sign the service contract, and the balance only after you have your keys and have moved in. The exact amounts and split vary by city and local partner, and are always set out in the contract before anything starts.

What happens if I need to cancel?

Full refund before the group introduction, a partial refund (per your contract) after introduction but before active work starts, no refund once the partner has begun searching or arranging viewings. Cases that fail through no fault of yours are handled case by case.
